This website is operated by VocalEngineAI ("we", "us", "our"). We design and build websites, mobile apps, AI voice agents, chat bots, and AI automations for businesses.

We keep the information we collect to a minimum:

• Enquiry details: when you use a "Get Started", "Contact", or "Book" form, we collect your name, email address, and phone number, the page feature you used to reach us, and the time you submitted it.
• Voice assistant audio: if you use the "Call" button, the assistant records your voice only while you are speaking to it, so it can understand and reply to you (see section 4).
• Technical information: like any website, our servers and hosting provider receive basic technical data such as your IP address, browser type, and the pages requested. We use your IP address briefly to protect our forms and voice assistant from abuse.

We do not use cookies, analytics tools, advertising pixels, or any other tracking technology, and we do not build profiles of visitors.

We use your information only to:

• Respond to your enquiry and arrange the meeting or call you asked for.
• Discuss, quote for, and deliver the services you are interested in.
• Run the voice assistant conversation you started.
• Keep our website secure and prevent spam and abuse.
• Meet our legal obligations.

We don't send marketing emails unless you ask us to, and we never use your information for automated decisions that have legal or similarly significant effects on you.

Where data protection laws require a legal basis, we rely on the steps you ask us to take before entering into a contract (answering your enquiry), our legitimate interest in running and protecting our business, and our legal obligations.

The voice assistant only listens after you open it and tap the microphone, and only while you are speaking. Each thing you say is sent securely to our server and then:

• converted to text by our speech provider, Deepgram;
• answered by an AI model from OpenAI, which receives the text of the current conversation;
• turned back into speech by Deepgram and played to you.

We do not store your recordings or the conversation. The transcript exists only in your browser while the call is open and is cleared as soon as you close or end it. Our providers process this data to deliver the service and handle it under their own terms and data protection commitments.

Please don't share sensitive information (such as health, financial, or government ID details) with the assistant. If you agree to book a meeting during the call, the assistant will open our enquiry form so you can share your contact details.

We never sell or rent your personal information. We only share it with trusted service providers who help us run this website and our business, and only as much as they need:

• Google, which stores the enquiries you submit in a private spreadsheet that only our team can access.
• Deepgram and OpenAI, which process voice assistant conversations as described above.
• Our website hosting provider, which runs our servers.

We may also disclose information if the law requires it, to protect our rights or the safety of others, or as part of a business sale or reorganisation, in which case the information would stay protected by this policy.

Our service providers may process information in countries other than your own, including the United States. Where required, we rely on appropriate safeguards, such as standard contractual clauses, to protect your information when it is transferred.

We keep enquiry details for as long as we need them to respond to you and manage any work we do together, and for any period the law requires afterwards. If we don't end up working together, we delete your enquiry within 24 months. You can ask us to delete it sooner at any time.

Voice assistant recordings and transcripts are not kept by us at all. Information held briefly to prevent abuse is cleared automatically.

Information sent between your browser and our website is encrypted in transit. Our service keys are kept on our servers and never exposed to your browser, and access to enquiries is limited to the people who need it. No system is perfectly secure, but we take reasonable steps to protect your information and will act quickly if something goes wrong.

Depending on where you live, you may have the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct or update it;
• ask us to delete it;
• object to or ask us to restrict how we use it;
• withdraw any consent you have given.

To make a request, email us at info@vocalengineai.com. We will reply within 30 days and won't charge you for a reasonable request. We don't sell personal information, so there is nothing to opt out of on that front. You also have the right to complain to your local data protection authority.

This website is intended for businesses and is not directed at children under 16. We don't knowingly collect information from children. If you believe a child has sent us their details, contact us and we will delete them.

We may update this policy from time to time, for example if we add new features to the website. When we do, we'll change the "Last updated" date at the top of this page. If the changes are significant, we'll make that clear on the website.
